Linking appointment management

The connection of the appointment scheduling tool Doctolib to the existing HIS system enables the fast and elegant replacement of two systems and the consolidation of data in one digital organisational process.

THE CHALLENGE

The University Hospital of Mannheim with over 50,000 inpatients and 30 specialist departments is the largest municipal hospital in Mannheim with a focus on medical research. The hospital has successfully relied on the HIS system SAP i.s.h.med for years. For the outpatient area of the gynaecology and obstetrics ward, scheduling was facilitated last year by means of Doctolib's scheduling solution. The German-French start-up Doctolib enables online booking of doctor's appointments and accelerates digitalisation in the healthcare sector. Since Doctolib is an independent solution, which was previously used separately from the HIS system, INFORMATICS' core competence as a specialist for interfaces between SAP i.s.h.med and HIS systems was used. Before the use of Doctolib, appointments were largely made in analogue form. Now, with this solution, the patient can book the next available appointment with the desired doctor himself via the Doctolib app or website and with just a few clicks. Another great added value is the timely appointment reminder via push message on the mobile phone.

THE SOLUTION

In order to standardise data presentation and information in both systems, booked appointments from Doctolib are mapped in i.s.h.med. This means that appointments entered in Doctolib also appear in the HIS system via views in KLAP or in the i.s.h.med planning board. Moreover, the entry and/or modification of appointments takes place exclusively in Doctolib. The seamless communication thus enables a continuous process chain and optimises the appointment allocation process.

THE ADVANTAGES FOR THE CUSTOMER

The connection of the appointment scheduling tool Doctolib to the existing HIS system enables the fast and elegant replacement of two systems for administration. As a result, almost the entire patient administration of the outpatient area of gynaecology and obstetrics is combined in one digital organisational process.

The intuitive and simple user interface of the Doctolib tool reduces the administrative effort for the outpatient sector and avoids appointment overlaps due to double bookings.

As a result, the daily expenses for appointment planning and management as well as for recording patient data could be made more efficient. For the patient, the service level and time savings are increased by the booking option available at any time and the reminder function via push message.
