Integration of scheduling

Integrating the Doctolib scheduling tool with the existing EHR system allows for the quick and seamless replacement of two systems and the consolidation of data into a single digital workflow.

THE CHALLENGE

With over 50,000 inpatients and 30 specialized departments, Mannheim University Hospital is Mannheim’s largest municipal hospital, with a focus on medical research. The hospital has been successfully using the SAP i.s.h.med. HIS system for many years. Last year, appointment scheduling for the outpatient division of the Department of Obstetrics and Gynecology was streamlined using Doctolib’s scheduling solution. The German-French startup Doctolib enables online booking of doctor’s appointments and accelerates digitalization in the healthcare sector. Since Doctolib is a standalone solution that had previously been used separately from the HIS system, the hospital drew on the core expertise of INFORMATICS as a specialist in interfaces between SAP i.s.h.med and HIS systems. Before Doctolib was implemented, appointments were largely scheduled manually. Now, with this solution, patients can book the next available appointment with their preferred doctor themselves via the Doctolib app or website with just a few clicks. Another major benefit is the timely appointment reminder sent via push notification to the patient’s mobile phone.

THE SOLUTION

To standardize data presentation and information across both systems, appointments booked in Doctolib are synchronized with i.s.h.med. This means that appointments entered in Doctolib also appear in the HIS system via views in KLAP or on the i.s.h.med scheduling board. Furthermore, appointments are entered and/or modified exclusively in Doctolib. This seamless communication enables a continuous workflow and optimizes the appointment scheduling process.
