A quick and easy process

SAP HCM Processes and Forms (HCM P&F) is not new. What is new, however, is that it can now be used with Fiori. This enables the digitization and automation of HR processes using a modern, intuitive user interface. The solution is built on a consistent Fiori architecture to deliver an enhanced user experience.

A classic scenario in an HR department: An employee submits a training request. It gets forwarded to the talent development team, who pass it on to the HR department, from there it goes to the manager, who approves the request, and then it goes back again. After the training, the costs are submitted, and if the amount deviates even slightly from the planned budget, the routine starts all over again. And all of this involves a lot of paper, stamps, and the like. A process with many forms—"Processes and Forms," in other words. "But there is a way to easily digitize such processes," says Hannes Prodinger. “HCM P&F drastically reduces the effort and the number of touchpoints. HR staff are under a lot of pressure, so they should be able to focus on their core tasks.” With HCM P&F, such cases now run through the system automatically without any media breaks. INFORMATICS implemented this at Schwarzach Hospital, for example. With the Launchpad, HR staff now have everything under control in an intuitive and fully traceable way.

HR can focus on its core business

The applications are diverse. At Primetals, INFORMATICS is working on automating attendance and absence management processes. While standard apps do exist, they are too inflexible or simply inadequate—for example, when it comes to doctor’s appointments or working from home. “Employees no longer have to get approval from their manager in person; they can now do so digitally. We launched a pilot program in recent months. Now, 1,600 people are already using this service.”

Another client project focused on the automated processing of commuting allowances. “Due to a change in the law and the resulting increase in complexity, the existing process could no longer be handled manually. With HCM P&F, processing is now fully automated. The distance between the employee’s home address and the workplace is determined via an API, and the corresponding commuting allowance is calculated. In the background, the appropriate wage type is automatically generated and processed for payment.” This significantly reduces the workload for the departments. They now only need to review the calculation in disputed individual cases. “There are an enormous number of such cases where paper can be replaced. We look at where the greatest benefit lies, can build a solution very quickly, and then roll it out further.”
